| The main features of the MicroDOC
application include, but are not limited to, the following:
| |
A register of all documents
for the project or projects. This includes the original document
number or reference (from the contractor or supplier) together
with a separately-assigned project reference number which is
used for tracking purposes. |
| |
The project reference number
is made up from a series of codes designed to easily identify
and track the document. These are held in separate look-up dictionaries
and are designed to speed-up the entry of the project number.
They include, project code, originator code, category code,
discipline code, revision code, action and comment codes. |
| |
A register of all project transmittals
(document movements) for incoming and outgoing documents. There
are four transmittal types available to cover the possible cycle
of information between project (project locations) and contractor/suppliers:
Incoming Initiating, Outgoing Initiating, Incoming Response
and Outgoing Response. A Transmittal may refer to as many documents
dispatched/received as required and also records details of
addressee and sender, respond-by date. |
| |
Issues transmittal forms to
accompany all incoming and outgoing documents. |
| |
The registers are backed up
by a powerful reporting facility enabling the user to retrieve
and run a report on a particular document or set of documents
in a matter of seconds out of a database that may potentially
contain tens of thousands of records. Documents can be retrieved
using flexible and easy to use filters and sorts. |
| |
Exception reporting highlights
all documents with a response outstanding, where response date
has been exceeded and where a response is expected in the next
"X" days. In each case the transmittal numbers are
cross-referenced on the report. |
| |
Database management and configuration
utilities, including the allocation of user access rights are
available from within the system. |
| |
The MicroDOC application uses
a MS Access Database. Clients have the option to create user
definable interfaces and reports in Access or request Kildrummy
develop them. |
